Since October 12, 2025, the registration of short stays in countries of the European Union is managed by a centralized digital system, called the Entry/Exit System (EES). Through this system, nationals from many countries outside the Schengen Area can request a VISA substitute for a period of up to 90 days. This system is pretty similar to United States’ ESTA and United Kingdom’s ETA.

To know whether you are eligible for an EES request, visit the official website of the Italian Ministry of Foreign Affairs ( https://vistoperitalia.esteri.it/ees?lang=en_US ) and the dedicated website by the European Union ( https://travel-europe.europa.eu/ ).

If you are not eligible for a request to the EES, you will need to apply for a traditional VISA.

The application for the VISA can be submitted to the Italian Diplomatic and Consular Representations in your country of residence. Foreigners intending to enter Italy shall provide the appropriate documentation indicating the reason for the journey, its duration, and, in some cases, proof that they have enough resources to cover travel and living expenses.

ATTENTION: VISA application may even require 120 days! Check it out in advance!

Invitation letter

If you need an official invitation letter to include in your application to enter Italy, you can request it to the Administrative secretariat at icosahom2027_sec@cimne.upc.edu

The invitation letter will not be legally or financially binding on the Organizing committee nor the Administrative secretariat. Expenses related to the conference shall be borne by delegates themselves.
